Call for applications: ACCES 2018 logistics coordinator in Nairobi
The Music In Africa Foundation (MIAF) seeks a local Event Logistics Coordinator for its upcoming ACCES music conference in Nairobi, Kenya, from 15 to 17 November 2018.
The Music In Africa Conference for Collaborations, Exchange and Showcases, or simply ACCES, is a pan-African platform for music industry players from across the continent to exchange ideas, discover new talent and accelerate the shaping of the vibrant music sector on the continent. ACCES is held in a different African city every year, attracting delegates from more than 40 countries from Africa and globally. The event takes place over three days, offering a dynamic programme including training workshops, panel discussions, presentations, live performances, networking sessions, exhibitions and visits to key music industry hubs in the host city.
This position will run for 7 weeks from October to November. The Foundation is strictly looking for a person who has relevant experience and a proven track record in similar positions.
Key responsibilities
- Establish and maintain effective working relationships with suppliers, MIAF staff and other stakeholders in the course of work including daily email and telephone communication with the MIAF office in Johannesburg.
- Process accurate schedules for conference shuttles and airport pick-ups.
- Support accommodation coordination.
- Coordinate and communicate with service providers, suppliers, vendors across various areas, including transport, technical, food and security.
- Liaise with local partners.
- Support PR activities such as press launch, distribution of invitations to events, manage invitee RSVPs, and other PR-related activities.
- Assist in the procurement of local services/suppliers.
- Site(s) preparation and management during supplier load-in and load-out.
- Venue liaison prior to event and regular venue site visits with potential service providers.
- Devise other key schedules such as exhibitor and accommodation lists.
- Maintain a good record of work documents (online and offline), including supplier contracts, schedules and other related admin documents.
- Perform other roles as may be necessary.
Requirements
- A tertiary qualification in events management and/or related qualification and/or at least 3 years' experience in similar positions.
- Communicate clearly and concisely in English, orally and in writing.
- Ability to work independently.
- Experience working in the music or cultural sector in Nairobi will be an advantage.
- Be able to work flexible hours to accommodate event schedule, including evenings, weekends and holidays.
- Ability to organise and coordinate complex, high-profile functions and event logistics activities, using specific principles and practices for event planning and co-ordination from pre-production, production and post-production.
- Proficient use of Google Forms, Microsoft Excel and Microsoft Word.
