Job opportunity: Bushfire Festival Coordinator
International arts festival Bushfire is one of Swaziland’s largest events, with nearly 25 000 admissions over three days in 2015 and generating approximately E30million (US$2million) for the local economy, including local charities, each year. With the growth of the festival both locally and regionally, it aims to increase its professional management capacity. The organisers are calling for applications for a new Festival Coordinator - a dynamic, action-oriented, proactive person.
The Coordinator will oversee necessary management, administrative, and logistical tasks and ensure effective implementation, control, monitoring and reporting. The Coordinator will also collaborate with the Director and Heads of Departments in developing concepts, writing proposals and preparing budgets and work plans.
Responsibilities:
Reporting to the Director, the Coordinator will be responsible for the following:

Management:
- Assist the Director in Strategic planning for all Bushfire‐related projects
- Coordinate concepts and workplans with main Festival strands (e.g. Food Fair, Market, KidZone, and Barn), liaising with Heads of Departments and the Director
- Manage various departments (TBD), such as Ticketing, Artist Liaison Team and Merchandise sales
- Lead general team and project work planning
- Coordinate pre‐festival meetings with the Festival Committees and Heads of Departments
- Festival evaluation including maintaining the statistical database
- Oversee grant opportunities and prepare proposals in collaboration with the Business Development Officer and Director
- Oversee grants management including contracts, monitoring, evaluation and reporting

Administrative:

Financial
- Develop and monitor budgets in collaboration with Director and Accounts office
- Oversee invoicing process
- Monitor all expenses, including Payroll, Petty cash, Accounts Payable and Accounts Receivable

Human Resources
- Establish and maintain Human Resources filing systems for Bushfire staff, including Staff relations
- Lead recruitment exercises, write Terms of Reference and job advertisements
- Process work permits and immigration requirements
- Implement and manage a Performance Management and Evaluation system
- Recruitment of interns and volunteers and managing their work

Contracts
- Prepare and handle signing for all contracts (staff, artists, service providers, grants, etc.)
- Ensure the interests of the company in contracts and that they follow Swazi law
- Ensure the deliverables of contracts are met

Financial
Qualifications:
- At least a Bachelor’s Degree in Management, Administration or related subject
Experience:
- Have at least 5 years’ experience in a management administrative role
- Knowledge of norms of contracts and contracting, human resource management systems and basics of accounting
- Experience with grants and/or fundraising including proposal writing an advantage
- Excellent oral and written communication skills, and comfortable with public speaking
- Proficiency with Microsoft Office required
