Open call: ACCES 2024 Logistics Coordinator in Rwanda
The Music In Africa Foundation (MIAF) seeks to hire a Logistics Coordinator for the ACCES 2024 music conference taking place in Kigali, Rwanda, from 14 to 16 November 2024.
The Music In Africa Conference for Collaborations, Exchange and Showcases, or simply ACCES, is a pan-African platform for music industry players from across the continent to exchange ideas, discover new talent and accelerate the shaping of the vibrant music sector on the continent. ACCES is held in a different African city every year, attracting delegates from more than 40 countries. The event takes place over three days, offering a dynamic programme including training workshops, panel discussions, presentations, live performances, networking sessions, exhibitions and visits to key music industry hubs in the host city. This position will run for four months, from August to November. The Foundation is strictly looking for a mature individual with relevant experience and a proven track record in similar positions.
Note: The call is only open to applicants based in Kigali, Rwanda.
Key responsibilities
- Establish and maintain effective working relationships with suppliers, MIAF staff and other stakeholders in the course of work, including daily email and telephone communication with the MIAF office.
- Set up partnerships with all key local music industry players.
- Process accurate schedules for conference shuttles and airport pick-ups, including shuttles for fringe events, artist sound checks and excursions.
- Liaise daily with service providers to ensure the professional delivery of services.
- Process and support accommodation coordination. This includes collating and processing complex travel information from delegates into error-free schedules and facilitating bookings with hotels.
- Support local fundraising activities.
- Coordinate and communicate with service providers, suppliers, vendors across various areas – including, but not limited to, transport, food and security.
- Lead local PR activities such as press launch, activations at other events, distribution of invitations and other PR-related activities.
- Venue liaison prior to the event and regular venue site visits with potential service providers.
- Maintain a good record of work documents (online and offline), including supplier contracts, schedules and other related admin documents.
- Assist in the application for various event permits/clearances.
- Perform other duties and responsibilities as assigned.
Requirements
- At least five (5) years of experience in similar positions.
- Ability to communicate clearly and concisely in English. French is an advantage, as well as Kinyarwanda.
- Proficient use of Microsoft Excel and Microsoft Word is a must.
- Experience in leading a team is advantageous.
- Ability to organise and coordinate complex, high-profile functions and event logistics, using specific principles and practices for event planning and coordination, from pre-production to production and post-production.
- Ability to work independently.
- Experience working in the music or cultural sector.
- Ability to work flexible hours, to accommodate event schedule, including evenings, weekends and holidays.
- Great people skills and ability to work in a team is a must.
