Call for applications: ACCES 2021 Logistics Coordinator
The Music In Africa Foundation (MIAF) seeks to contract a Logistics Coordinator for its ACCES 2021 music conference in Johannesburg, South Africa. The position will run for two months (October to November). The MIAF is strictly looking for a person who has relevant experience and a proven track record in similar positions.
The Music In Africa Conference for Collaborations, Exchange and Showcases, or simply ACCES, is a pan-African platform for music industry players from across the continent to exchange ideas, discover new talent and accelerate the shaping of the vibrant music sector on the continent. ACCES is held in a different African city every year, attracting delegates from more than 50 countries in Africa and beyond. The event takes place over three days, offering a dynamic programme that includes training workshops, panel discussions, presentations, live performances, networking sessions, exhibitions and visits to key music industry hubs in the host city.
Key responsibilities
- Establish and maintain effective working relationships with suppliers, MIAF staff and other stakeholders in the course of work, including daily email and telephone communication with the MIAF office.
- Process accurate schedules for conference shuttles and airport pick-ups.
- Liaise daily with service providers to ensure the professional delivery of services.
- Process and support accommodation coordination (this includes collating and processing complex travel information from delegates into error-free schedules and facilitating bookings with hotels).
- Support flight coordination and booking.
- Calculate and support payment of per diems.
- Coordinate and communicate with service providers, suppliers and vendors across various areas – including transport, technical, food and security.
- Support PR activities such as press launch, distribution of invitations to events, manage invitee RSVPs, and other PR-related activities.
- Venue liaison prior to the event and regular venue site visits with potential service providers.
- Devise other key schedules such as exhibitor and accommodation lists.
- Maintain a good record of work documents (online and offline), including supplier contracts, schedules and other admin-related documents.
- Assist in the application for various event permits/clearances.
- Perform other duties and responsibilities as assigned.
Requirements
- A tertiary qualification in events management and/or related qualification.
- At least three (3) years’ experience in similar positions.
- Communicate clearly and concisely in English, orally and in writing (French is an advantage).
- Proficient use of Microsoft Excel and Microsoft Word is a must.
- Ability to work independently.
- Experience working in the music or cultural sector.
- Be able to work flexible hours to accommodate event schedule, including evenings, weekends and holidays.
- Ability to organise and coordinate complex, high-profile functions and logistical activities, using specific principles and practices for event planning and coordination – from pre-production to production and post-production.
- Great people skills and ability to work in a team is a must.
