Call for applications: Joburg Theatre assistant producer
The Joburg Theatre is calling on experienced candidates to apply for the position of assistant producer at its Braamfontein office in Johannesburg, South Africa.
The Joburg City Theatre is an entity of the City of Johannesburg that operates the Joburg Theatre, Roodepoort Theatre and Soweto Theatre.
The position is permanent and the successful candidate will work within the stage department. He or she will earn a basic salary ranging from R22 215.54 to R27 864.81.
Key responsibilities will include, but not be limited to:
- Assisting the producer with planning/scheduling and maintenance of the theatre calendar draft contracts/agreements for the producer.
- Gathering information from artists and visiting companies, including technical and marketing information.
- Developing contact sheets for productions and projects.
- Organising travel, accommodation and hospitality as required.
- Coordinating and administer international travel permits, including VISA’s Assist with the planning and delivery of special events.
- Supporting the producer with general administrative tasks as required.
- Assisting the producer and artistic director with the administration of proposals, quotations and contracts.
- Assisting rehearsals, performances and special events as assigned.
- Maintaining the annual production calendar and production expenses to be paid weekly during productions.
- Assisting with the creation, distribution, and management of artists, music licensing, and production-related contracts.
- Drafting and regularly updating rehearsal schedules and timelines for performances and events, ensuring information from contracts is entered into timelines as appropriate.
- Communicating accurate information about productions to all staff so they can effectively manage their responsibilities.
- Taking minutes for various meetings.
- Assisting with other JCT events to include keeping timelines, managing contracts, collecting and distributing forms, and related processes.
- Researching potential venues and festivals and maintaining a database.
- Ordering production supplies.
- Being responsible for packing and shipping of production materials.
- Researching local, regional, national, and international venues and presenters.
- Creating production expense budgets for performance events.
- Coordinating the collection of all materials and distribution to the marketing, designer and prepare program materials.
- Maintaining and distribute theatre calendars in order for them to be up-to-date at all times.
- Ensuring that information on the deposit registers is accurate and up-to-date.
- Ensure that the calendars tally with the deposit register and website, submitting weekly, monthly and quarterly programming reports.
- Submitting weekly, monthly and quarterly programming reports and handling daily enquiries and management for the Theatre Park and Mobile Theatre Truck.
- Assembling and finalising artists’ contracts for in-house and co-productions.
- Assembling and finalising tenant lease agreements and ensuring that full rental is paid prior to move-in by tenants.
- Collating and submitting closeout reports for all in-house and co-productions.
- Updating artists and producers/clients’ databases to ensure that the programmes support the higher-level vision, goals and objectives of Joburg City Theatres.
- Drafting correspondence to various stakeholders.
Requirements
- Grade 12 and a National Diploma in Arts (NQF Level 6) or equivalent.
- Minimum of one to three years’ work experience in arts.
- Knowledge of arts, theatrical, production procedures and practices and eagerness to apply that knowledge in a wide range of venues.
- Good verbal and written communication in English.
- Computer literacy.
